1. Requesting provision of personal information from customers

Oniyama Hotel’s website (hereinafter referred to as “our website”) is run by Oniyama Hotel as a customer service platform. We ask customers to provide us with personal information when filling out online reservation and E-mail when using our website in order to provide better service.

2. Information requested

Information requested on the reservation and inquiry forms includes customers’ name, email address, telephone number, residential address, and the dates and length of stay. These details are the main personal information required for us to provide reservation services via our website. We also ask customers whether they wish to receive our hotel email newsletter - “Beppu/Kannawa Oniyama News.”

3. Protection and management of personal information

Oniyama Hotel handles personal information provided by guests with the utmost care. There may be cases when the handling of personal information is entrusted to an external partner in order to provide better customer service. However, we still provide contractors with instructions and supervision so that information is managed with sufficient care and no information is leaked. When we provide a third party with statistical information, the only information we provide them with is the statistical information itself.

4. Use of personal information

Information provided through reservation and e-mail is used by reservation clerks to check reservation information and make an entry in the reservation register, as well as responding to the inquiry to inform the customer of whether or not the reservation is possible. Personal information provided through the reservation and E-mail on our website will not be used for purposes other than the aforementioned.

5. Revision and deletion of personal information

If a customer requests that we revise or delete their personal information and we are able to confirm that the request came from the the customer themselves, Oniyama Hotel will delete or revise the relevant information without delay and within reasonable scope.

6. Disclosure of personal information

We may disclose your personal information when one or more of the following apply. It becomes clear that the customer has inflicted a loss upon another customer or Oniyama Hotel itself, we may disclose the personal information of the customer in question to the parties concerned, the police, or relevant public authorities. If we receive a disclosure request from a court of justice, a public prosecutor, the police, a bar association, a consumer information center, or an agency with equivalent authority concerning recorded customer information, we may disclose relevant information.
